How to Write an RFQ That Gets Accurate Factory Quotes

Vague RFQs get vague quotes. A complete RFQ gets comparable numbers you can actually decide on.

The 8 RFQ blocks

  1. Product spec: drawings/photos, dimensions, materials, finishes
  2. Branding: logo method, packaging requirements
  3. Quantities: per SKU + annual forecast (factories price the relationship)
  4. Quality standard: AQL level, inspection rights
  5. Incoterm: EXW/FOB/CIF - quotes must be comparable
  6. Timeline: sample date, production date, delivery deadline
  7. Compliance: certifications needed for your market
  8. Validity: ask quotes valid 30-60 days (steel moves)

Pro tips

  • Send to 3 factories simultaneously
  • Ask for two quantity breaks to see the price curve
  • Request itemised quotes (unit, tooling, packaging, freight separately)
